Deposit and payment:

A non-refundable deposit of $800.00 per person is required on confirmation in order to secure your reservation.  The balance of your payment for your booked tour must be received no later than 90 days prior to the tour commencement date. Bookings made less than 90 days before the tour date will only be accepted if full payment is received when booking.

Inclusions:

Ground transportation in the tour country, 11 nights accommodation, breakfast daily, lunch and or dinner daily (based on prix fixe menus with suggested wines, gratuities (meals only), entrance fees, cooking classes, tours, winery visits and tastings.

Costs not included:

The tour(s) does not include airfares, passport or visa fees, taxes, travel and health insurance, telephone expenses, drinks unless specified, excess baggage charges, tips and services not otherwise listed  and all items of a personal nature.

Accommodation:

Accommodation is in boutique hotels 3*’s and above and in a shared villa with shared facilities.
Travel and Baggage: Ground transport where possible will be by top end, air conditioned 8 seater vehicles.  Accordingly baggage needs to be limited to one standard suitcase and one carry-on bag.  Guests are responsible for the cost and transportation of any excess baggage.

Pricing:

All prices are shown in Australian dollars and are current at date of printing this itinerary. Picnics in Provence reserves the right to adjust tour prices prior to final payment in the event of any circumstance beyond its reasonable control (including but not restricted to exchange rate movements between the quoted price and the actual price).

Booking Cancellation Policy:

If cancelling prior to final payment the deposit is non-refundable. A cancellation advised after final payment but not less than 30 days prior to the date of travel will incur a cancellation fee of 75% of the full payment. A cancellation advised less than 30 days before the date of travel will incur a cancellation fee of 100% of the full payment. However in either case the cancellation fee  may be reduced at the discretion of Picnics in Provence depending on the circumstances of cancellation.

Tour Cancellation policy:

Picnics in Provence reserves the right to cancel any tour and shall not be liable in the event of such cancellation. However in such a case Picnics in Provence shall refund in full all payments made  by a client. In particular all Picnics in Provence tours are subject to minimum numbers.  Every endeavour is made to ensure the tours take place but if the minimum number of clients is not reached, the tour will be cancelled.

No refund will be issued (i) in the event  that a client  fails to  join his or her tour or does not utilize accommodation or any services ; or (ii)for a partially completed tour other than as a result of the gross negligence or wilful default of Picnics  in Provence.

Picnics in Provence also reserves the right to decline to accept or retain any person as a member of the tour at its own discretion.

Picnics in Provence reserves the right to amend or vary the itinerary or other services nominated in the tour brochure should it determine in its discretion that circumstances warrant  such changes, that it would be in the best interest of the clients  or for any other valid operational reason.

Travel Insurance:

Travel Insurance is compulsory on all overseas tours  and is a condition of booking. You are strongly recommended to take out cancellation insurance at time of booking which will cover cancellation penalties in certain circumstances (note: such insurance will not cover a change of mind). Insurance should also cover cancellation fees payable for airline tickets, accommodation, loss of deposit, luggage etc. Normal travel insurance conditions apply. (Insurance may not cover trip cancellation due to pre-existing medical conditions). Please read your policy carefully. Your insurance policy details will need to be provided before departure of your trip. Please ensure you have your policy number and emergency telephone number for your insurance company with you during the tour.

Itinerary Validity and Content:

This itinerary is valid for the period of 2009 unless otherwise specified. While every effort has been made to ensure accuracy Picnics in Provence reserves the right to amend or vary the itinerary or other services nominated in the tour brochure should it determine in its discretion that circumstances warrant such changes, that it would be in the best interest of the clients or for any other valid operational reason. However Picnics in Provence will endeavour to provide alternative arrangements of the same standard as that originally booked. Notwithstanding this, Picnics in Provence. shall not be liable for any loss or damage sustained by a client as a result of such a change in itinerary 

Disabilities

The client must report any disability requiring special attention to Picnics in Provence at the time the reservation is made. Picnics in Provence will make reasonable attempts to accommodate the special needs of disabled travellers, but is not responsible in the event it is unable to do so nor is it responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers.

Disclaimer:

Picnics in Provence is not a carrier or hotelier, nor do we own aircraft, hotels or coaches. The services Picnics in Provence   provides consists of arranging and co-ordinating accommodation, tours and transfers, making bookings and issuing vouchers to be redeemed by suppliers if necessary. While Picnics in Provence exercise every care in the selection of reputable coach operators, hotels and other suppliers of the various  services which are used in these tours  Picnics in Provence does not act as their agent and nor are such service suppliers the agent of Picnics in Provence n. It is important to note, therefore, all bookings with Picnics in Provence are subject to the terms, conditions and limitations of liability imposed by the service providers whose services are utilised, some of which limit or exclude liability in respect of death, personal injury, delay and loss or damage of baggage. The client acknowledges and agrees that  Picnics in Provence and its representatives assume no responsibility and will not be held liable  for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity by reason of (1) any wrongful or negligent acts or omissions on the part of the suppliers or service providers, (2) any wrongful, negligent, or unauthorized acts or omissions on the part of any employee of these suppliers or service providers, (3) any defect in or failure of any vehicle, equipment or instrumentality owned, operated, or used by any of these suppliers or service providers, or (4) any wrongful or negligent acts or omissions on the part of any other party not under the control, direct or otherwise, of Picnics in Provence.

 Liability

By accepting these terms the client acknowledges and agrees that other than as a result of the gross negligence  of Picnics in Provence or its employees it shall assume no responsibility and will not be held liable  for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity sustained by the client in the course of or as a result of services provided by Picnics in Provence as part of the tour and that the client shall indemnify and release Picnics in Provence and its representatives from any liability arising from same. 

Notwithstanding the foregoing, Picnics in Provence and its representatives shall have no liability or obligations to a client arising directly or indirectly out of  any circumstances beyond its/their control including, but not limited to, breakdown in equipment, strikes, theft, delay, hijacking, act or threat of war (whether declared or not), riots, civil strife, terrorist activity, industrial disputes, discharge dispersal, release or escape of pollutants, natural and nuclear disasters, fire, sickness, bad weather, technical or transportation problems, closure of stations or airports, cancellations or changes of schedules by railways, air or bus lines or any other circumstances amounting to force majeure and/or Act of God.

Clients’ Responsibilities:

It is your responsibility to obtain visas, passports, health certificates or other travel documents where required for the tour. It remains your responsibility to ensure that these documents are in order and to meet any additional costs incurred as a result of failure to comply with such requirements. It is also your responsibility to book your own airline tickets and to meet the tour at the schedules time and place in the designated country where the tour begins.
